Red Bull GmbH is a privately owned Austrian company that produces and markets energy drinks, with its core product being the Red Bull Energy Drink, which it created and popularized globally.

The Challenge:

Red Bull, a globally recognized brand known for its energy drinks and sports marketing, needed a scalable and user-friendly solution to manage various business applications efficiently. The challenge was to streamline workflows, enhance collaboration, and automate repetitive tasks across different departments without extensive IT intervention. Additionally, ensuring compliance with GDPR regulations while managing vast amounts of data was a priority.

The Solution

Airtable was already in use within Red Bull when the IT Manager joined, but he quickly realized its growing popularity across the company. As an IT Manager, he facilitated its adoption and expansion, ensuring that teams could maximize its capabilities.

Airtable became a versatile tool for Red Bull, supporting a range of use cases, including:

  • Media Asset Management: Red Bull developed a Media Planet database, a Digital Asset Management (DAM) system, enabling 1,738 users to store, organize, and retrieve media assets such as videos and images efficiently.

  • Program Management: Teams across marketing, legal, and other departments use Airtable to track projects, automate tasks, and improve workflow efficiency.

  • Facility Planning: Airtable's integration with Identity Management (IAM) helps automate seat assignments for new employees, notifying managers and ensuring smooth onboarding processes.

Business Planning & Budgeting: Some teams leverage Airtable for budget tracking, can design planning, and financial analysis.

Key Results:

Airtable has had a significant impact at Red Bull. They estimate notable improvements in efficiency and workflow management.

  • 70-80% Time Savings: Individual operations and processes have seen significant time savings, particularly through the IAM integration

  • Enhanced Compliance: Automated workflows support Red Bull in streamlining GDPR compliance by making it easier to identify and remove outdated user data as part of existing processes, helping to maintain high standards efficiently.

  • Increased Adoption & Collaboration: Over 1,700 active users across multiple departments leverage Airtable, with usage growing organically through word-of-mouth.

The greatest value Red Bull has seen from Airtable lies in how it democratizes process creation. Even team members who aren't digital natives can easily build, customize, and productively use workflows without any coding knowledge. The platform's intuitive design makes it accessible to everyone.

This accessibility has transformed how Red Bull approaches internal processes. They’ve been able to eliminate much of the centralized control that typically bottlenecks project development. Instead of waiting for IT specifications or approval chains, they can empower their specialist departments to create fast, independent solutions directly.

The impact on adoption has been remarkable. The high level of user acceptance across their organization means people are naturally exploring Airtable's capabilities on their own. That organic discovery and experimentation has been a key success factor in scaling our use of the platform company-wide.

Future plans

Red Bull has launched an internal Airtable community within Microsoft Teams. This initiative will serve as a central hub where users can share best practices, troubleshoot issues, and access learning resources such as Airtable Academy.

Lessons learned

  1. Ease of Use Drives Adoption: Airtable’s intuitive interface makes it easy for employees to adopt and implement solutions without IT dependence.

  2. Automation Reduces Errors & Saves Time: Integrating with existing internal applications, including identity management systems, significantly streamlined various processes by preventing manual data transfer and enabling rapid process improvements compared to conventional development.

  3. Community Support Accelerates Growth: Encouraging peer-to-peer learning through internal communities fosters a culture of knowledge sharing and self-service problem-solving.

Airtable has proven to be a powerful tool for Red Bull, helping teams across different functions optimize their workflows. Its ease of use, flexibility, and automation capabilities continue to drive adoption and efficiency within the organization.
